1. Regarding hourly rate, the following covers my procedure on fees:
A.For language training interpretation or translation services, I will charge a rate determined at our first meeting.
B. This rate is subject to change from time to time. This rate does not include the other charges and expenses outlined in No. 2.
C. I charge for all time spent with the client except for the initial consultation. My cell phone bills will also be delivered to you for reimbursement on a monthly basis, when applicable. Occasionally I may run into the problem of remote locations (primarily caused by airline connections). In these instances, I reserve the right to charge additional time to cover the extra cost of getting in and out of a location. Clients will know in advance locations considered remote.
2. Expenses incurred while training, translating, and interpreting are charged to the client (i.e., room and board if applicable, travel outside of the Austin area, long distance calls, meals, materials, etc.).
A. For local clients, there are seldom expenses except when overnight stays are incurred.
B. These conditions apply to all future matters for which the Client shall request Learn Español or Todd Smith to perform language training, interpretation, or translation services, as well as applying to the current matter.
3. Cancellations are a serious aspect of my business. Cancellations close to the time of a meeting/ appointment cause serious problems for me. Cancellations on short notice are often impossible to fill, causing a financial loss. Therefore, I have adopted the following procedure that I believe to be fair:
A. Consulting meetings of more than three hours, cancelled within a week of the scheduled time will be billed at full price.
B. Hourly meetings cancelled within forty-eight hours will be billed at full price or counted at full price against the retainer, if applicable.
C. If in the case of (A) or (B) above I am able to schedule another client and fill some time, I will reduce the charge to the client accordingly. This is seldom a problem, and it is rare that I have to charge a client for time not used. However, this is a serious problem, and I feel it is important that the client understand the impact of short-term cancellations.
4. If I invoice a client after services are rendered, bills are payable upon receipt. I normally pre-bill for ten hours of training or pre-bill monthly. THERE ARE NO REFUNDS. When sessions are cancelled in a timely manner, a reschedule attempt is made and, when appropriate, credits are provided for the following month's invoice.
5. For consulting, a retainer is charged in almost all cases due to its nature.
